Software asset management

A practical approach to knowing what software your organisation owns, who uses it, what it costs and when it renews, without needing an enterprise-sized team.

Contact us

In short: Software asset management (SAM) is the practice of tracking the software your organisation owns and uses: what is licensed, how many licences, who has them, how they are used and when they renew. Done well, it cuts wasted spend, avoids under-licensing, closes security gaps and supports Cyber Essentials and UK GDPR obligations.

What software asset management is

Software asset management is part of IT asset management. It covers the whole life of a software subscription or licence: buying it, assigning it, using it, renewing it and retiring it. Large organisations follow formal frameworks such as the ISO/IEC 19770 family of standards and use dedicated SAM tools. Smaller organisations can get most of the value with a simple register and a few routines.

The core questions SAM answers are:

  • What software do we pay for, from whom, and on what terms?
  • How many licences do we have, and how many are in use?
  • Who owns each product inside the business?
  • When does each subscription renew, and what notice is needed?
  • Is every piece of software we run licensed and still supported?

Why it matters

Cost control. Unused licences, overlapping tools and subscriptions bought on personal or departmental cards are common. A register shows where money goes and what can be cut.

Compliance. Vendors expect all use to be licensed. A clear record of entitlements and usage makes any vendor review straightforward.

Cyber Essentials. The scheme requires software on in-scope devices to be licensed and supported, and unsupported software to be removed or isolated. You cannot meet that without knowing what you run. Our sister site explains the Cyber Essentials requirements.

UK GDPR. Every SaaS tool that holds personal data is part of your data protection picture: you need to know which suppliers process data, where, and who has access. SAM and your record of processing activities should agree. When you add a new tool, check its data location and terms as part of buying it, not afterwards.

Security. Shadow IT, meaning tools adopted without IT's knowledge, often lacks MFA, single sign-on or proper offboarding. It can also mean company data sitting in accounts the organisation does not control, which becomes a problem when the person who set them up leaves.

A simple SAM process

  1. Build a register: list every subscription with vendor, product, edition, quantity, term, renewal date, cost centre and business owner. A spreadsheet is fine to start.
  2. Find what is missing: check expense claims, card statements, your identity provider's app list and browser extension reports for tools that are not on the register.
  3. Measure usage: record assigned and active licences from each vendor's console.
  4. Assign owners: each product needs someone responsible for users, configuration and renewal decisions.
  5. Set routines: a quarterly true-up, a renewal review 60 to 90 days before each renewal, and licence removal in the leaver checklist.
  6. Consolidate: where several tools do the same job, choose one and retire the others at renewal.

What to record

FieldWhy it matters
Vendor, product and editionShows overlap and upgrade options
Licensing unit and quantityThe basis for true-ups; see per-user vs per-device licensing
Term and renewal dateAvoids unwanted auto-renewals and lapses
Notice periodSome contracts need notice well before renewal to change or cancel
Business owner and adminSomeone accountable for decisions and access
Data held and locationSupports UK GDPR records and risk assessments
Support statusFlags software approaching end of support for Cyber Essentials

See per-user vs per-device licensing for how to count each unit.

How we help

Buying through one supplier makes SAM much easier, because a large part of your register is already in one place. Your Forever Systems account shows your subscriptions, quantities and renewal dates across vendors, and we remind you before renewals. We can also help you build your first register and review where tools overlap. Contact us to ask for a licensing review.

How Forever Systems supplies your software licences

Forever Systems Ltd supplies business software subscriptions to UK organisations from one account, with one monthly invoice and a UK team who know the products.

  • The right edition first time: we check what you need before you buy, so you are not paying for features you will never use
  • Monthly or annual terms where the vendor offers them, and help timing renewals and commitments
  • Licence changes handled for you: add or remove users, upgrade editions and true-up without starting a new contract
  • Deployment and support from engineers who run these products every day, not just a reseller account
  • Consolidated billing and renewal reminders so nothing lapses unexpectedly

We work with businesses, schools, charities and public sector organisations of all sizes.

Frequently asked questions

What is software asset management?

The practice of tracking the software an organisation owns and uses, including licences, usage, owners, costs and renewal dates, to control spend, stay compliant and reduce risk.

Do small businesses need software asset management?

Yes, though it can be simple. A maintained register of subscriptions, owners and renewal dates, plus a leaver process that removes licences, delivers most of the benefit.

How does SAM help with Cyber Essentials?

Cyber Essentials requires software to be licensed and supported. A software register shows what you run and flags anything unlicensed or out of support so it can be updated or removed.
