In short: Switching software licence supplier means moving who bills and manages your subscriptions, not reinstalling the software. Many cloud subscriptions can be transferred to a new supplier with no change to users, data or settings. Monthly subscriptions can usually move at any time; annual commitments normally move at renewal. Make sure you keep admin access to every account.
What changes and what does not
When you change licence supplier, the software itself normally stays exactly as it is. Your users, data, policies and installed agents carry on working. What changes is:
- Who invoices you for the subscription
- Who manages licence changes such as adding users or upgrading editions
- Who you go to for support, although vendor support usually remains available through the new supplier
- The commercial terms, which may improve, especially if you consolidate several subscriptions
How the transfer happens varies by vendor. For some products, the new supplier is linked to your existing account or tenant and takes over billing. Google Workspace, for example, supports moving an existing subscription to a new reseller from the Admin console without affecting users or data. For others, particularly some security products managed from a multi-tenant console, the new supplier creates a new account and agents are moved across or reinstalled. We confirm the method for each product before you commit.
The licence itself remains between your organisation and the vendor. The supplier's role is to provision, bill and support it, so changing supplier does not change your rights under the vendor's terms. What you should check is that nothing in the outgoing supplier's own agreement, such as an unpaid balance or a notice period, holds up the transfer.
Timing with monthly and annual terms
| Term | When you can move | Notes |
|---|---|---|
| Monthly | Usually at any time | Check the current supplier's notice period |
| Annual commitment | Usually at renewal | Moving mid-term may mean paying the remaining term |
| Multi-year | At the end of the term | Plan well ahead |
| Usage-based | Usually at any time | Ensure monitoring is not lost during the move |
Read your current agreement as well as the vendor's terms. Some suppliers have their own contracts with notice periods or minimum terms on top of the vendor's. Our guides to monthly vs annual licences and software renewals explain the timing in more detail.
Before you switch: a checklist
- List every subscription with its vendor, quantity, edition, term and renewal date, and note which supplier holds it.
- Confirm admin access: make sure your organisation, not just the outgoing supplier, has administrator accounts for each product. This is the most important step.
- Check data ownership: accounts, tenants and domains should be registered to your organisation.
- Review the outgoing contract for notice periods and early termination terms.
- Agree a transfer plan: which products move when, and how, with the new supplier.
- Watch for gaps: for security products, make sure protection and monitoring continue throughout.
- Update records: your software register, billing contacts and renewal reminders.
Using a switch to simplify
A change of supplier is a good opportunity to tidy up. Many organisations find that over time they have accumulated subscriptions from several resellers, credit card sign-ups and direct vendor accounts. Bringing them together under one supplier gives you one invoice, one renewal calendar and one point of contact.
It is also a natural moment for a licence true-up: removing leavers, retired devices and unused products before moving, so you only transfer what you need. Moving fewer, better-organised subscriptions is quicker, and it gives the new supplier an accurate starting point for future renewals and true-ups. Our software asset management guide explains how to build the register that makes this easy.
How we help
We manage the transfer for you: we check how each product moves, confirm timing against your current terms, and coordinate with the vendor so there is no interruption to service. We will also tell you honestly if waiting until renewal is the better option. For Microsoft subscriptions, Forever Group can help separately through Microsoft licensing. Contact usFrequently asked questions
Will switching licence supplier interrupt our software?
Usually not. For most cloud subscriptions, the transfer changes billing and management only, and users, data and settings are unaffected. Some security products may need agents moving to a new console, which we plan to avoid gaps.
Can I switch supplier in the middle of an annual term?
Usually the subscription moves at renewal. Moving mid-term may mean paying the remainder of the term, depending on the vendor and your current agreement.
What should I check before switching?
That your organisation has admin access to every product, that accounts and domains are registered in your name, and what notice your current supplier's contract requires.
