In short: Business productivity software is the collection of subscriptions staff use to create, share, sign and print work: office suites such as Google Workspace, PDF editors, e-signature, email signature management, file sharing, print management and secure remote access. Most are licensed per user on monthly or annual terms. Forever Systems supplies them alongside your security and backup licences.
What productivity software covers
Productivity software is everything your people use to get work done, apart from specialist line-of-business systems. On this site you will find:
- Google Workspace: Gmail, Drive, Docs, Sheets, Meet and Chat, in Business and Enterprise editions
- PDF software: create, edit, convert, redact and protect PDF documents
- E-signature: send documents for legally recognised electronic signature
- Email signature management: consistent, compliant signatures for every user and device
- File sharing and collaboration: cloud file servers and secure external sharing
- Print management: serverless cloud printing and secure release
- Secure remote access: reach office PCs and desktops safely from anywhere
We do not supply Microsoft 365 on this site; Forever Group handles Microsoft licensing separately.
Productivity tools are often bought by individual teams on company credit cards, which leads to duplicate subscriptions, forgotten renewals and data held in accounts that IT does not control. Bringing them onto one account fixes that: you can see every subscription, who uses it and when it renews, and you can remove access when people leave. That is good for cost control, and it matters for security and UK GDPR too, because company data stays in company-managed accounts.

What to look for
- Fit with your main platform: most tools integrate with Google Workspace, Microsoft 365 or both; check single sign-on and user provisioning
- Overlap: your office suite may already include basic PDF, e-signature or file sharing features
- Administration: central control of users, settings and data
- Security and data location: encryption, MFA, audit logs and UK or EU data storage where needed
- Licence flexibility: monthly terms for changing teams, annual for stable ones
- Ownership of data: make sure accounts are created in your organisation's name and administered centrally, not tied to an individual's personal sign-up
- Exit options: how easily you can export your data if you change tool later
How productivity software is licensed
Nearly all productivity tools are licensed per user, sometimes in tiers that add advanced features, more storage or automation. Exceptions include print management (often per printer or per user, depending on vendor) and remote access (per user or per connected PC). Google Workspace offers both a flexible monthly plan and an annual commitment. See our monthly vs annual licences guide for the trade-offs.
Where tools overlap, consolidating onto one product with a higher edition can cost less than several separate entry-level subscriptions, and is simpler to manage.
How to choose
- Start with the office suite; everything else should integrate with it.
- Audit what each team actually uses, and remove duplicate tools.
- Pick the edition that matches real needs: many users never touch advanced features.
- Align renewal dates so the whole stack is reviewed once a year.
- Agree who owns each tool in the business, so someone is responsible for its configuration, users and renewal.
Our software asset management guide explains how to keep track.
