In short: Actifile is a cloud-managed data security platform that discovers sensitive data on devices, servers and cloud storage, assigns it a monetary risk value and automatically encrypts it, so stolen files cannot be opened. Forever Systems supplies Actifile on a monthly subscription, deploys the agents and manages the platform for you.
What Actifile does
Most organisations do not know where all of their personal data is. Spreadsheets of customer details sit in download folders, HR letters live on old file shares, and copies of passports are attached to emails saved to laptops. If an attacker steals those files, or a member of staff sends them to the wrong person, you have a data breach to report.
Actifile tackles the problem at the file level. A lightweight agent scans devices and servers for sensitive data, a monitoring service tracks how files are created, copied and shared, and a policy engine encrypts sensitive files automatically. Encrypted files open normally for your staff on managed devices, but are unreadable anywhere else, so stolen or leaked copies cannot be used for extortion.
Actifile describes this as a "scan, encrypt, monitor" approach, and positions it as a lighter alternative to traditional data loss prevention (DLP) tools that rely on blocking rules and constant tuning. See Actifile Dynamic Data Security for how each part works.
What is included
Actifile is one platform, Dynamic Data Security, supplied in two options that use the same agents and multi-tenant cloud console:
- Assessment and Monitoring: finds and classifies sensitive data, puts a monetary risk value on it, tracks how files are accessed and moved, and raises alerts. It answers the question "what would a breach expose?" before a UK GDPR review, client audit or insurance renewal.
- Managed Encryption: adds policy-based automatic encryption of the sensitive files that were found, with the policy designed and run by us. This is the option that limits the damage from ransomware data theft, insider misuse and accidental leaks.
Many organisations start with an assessment to see where their risk sits, then switch encryption on for the highest-risk data types. Because the agents are already in place, that is a policy change rather than a new deployment. The Dynamic Data Security page compares the two options feature by feature.
How Actifile is licensed
We supply Actifile as a monthly subscription. The licence is sized to the workstations, laptops and servers you want covered, plus any Microsoft 365 repositories connected by API, and we confirm exactly what is counted in your quote.
- Billing: monthly, on your Forever Systems invoice
- Changes: add licences as you add devices, or extend from assessment to managed encryption
- Commitment: Actifile sets a minimum monthly commitment, which we explain when we quote
Pricing depends on the option, the number of devices and the level of management you want from us, so ask us for a quote. Our guide to per-user vs per-device licensing explains the difference.
How we deploy and run Actifile
- Deploy: we push the agent to Windows and macOS workstations, Linux virtual machines and Windows and Linux servers through your management tools, and connect Microsoft 365.
- Assess: the first scans show what sensitive data you hold, where it sits and the risk value attached to it.
- Agree policy: we go through the findings with you and agree which data types should be encrypted and which applications may open them.
- Encrypt: on the Managed Encryption option we switch on automatic encryption in stages, starting with the highest-risk data.
- Monitor and report: we watch the alerts, investigate unusual file activity and give you regular reports for your data protection records.
Actifile complements, rather than replaces, endpoint protection and backup. Ransomware still needs stopping at the device, and your data still needs backing up.
Who Actifile suits
Actifile suits organisations that handle personal or confidential data on ordinary laptops and file shares and want to know, and limit, what a breach would expose: healthcare and care providers, financial and legal firms, schools and trusts, charities and professional services. It also suits businesses facing questions from insurers or clients about how they protect personal data. Compare other anti-ransomware tools, or see the Netwrix data security posture products.

Contact usFrequently asked questions
What does Actifile do?
Actifile finds sensitive data such as personal information on devices, servers and Microsoft 365, gives it a monetary risk value, monitors how it is used and can encrypt it automatically so that stolen copies cannot be opened.
Is Actifile a DLP tool?
It covers similar ground, preventing sensitive data leaking, but works differently. Instead of blocking every risky action with rules, it encrypts the sensitive files themselves, so a leaked file is unreadable outside your organisation.
How is Actifile billed?
Monthly, on your Forever Systems invoice. The subscription is sized to the devices, servers and Microsoft 365 repositories you protect and to the option you choose, with Actifile's minimum monthly commitment confirmed in your quote.
Does Actifile help with UK GDPR?
It helps you show where personal data is held, who accesses it and how it is protected, and encryption reduces the impact of a breach. It is a tool to support compliance, not a substitute for your data protection policies.
Will encryption get in my staff's way?
Actifile is designed to be transparent: approved applications on managed devices open encrypted files as normal, without extra passwords. We test policies with you before switching encryption on widely.
