How Dynamic Data Security works
Dynamic Data Security (DDS) is Actifile's name for its cloud-managed platform. It has four parts working together:
- Discovery: the Actifile Sentry agent starts scanning data at rest as soon as it is installed for sensitive content using ready-made templates, such as personal data and payment card details, or patterns you define for your own confidential information.
- Risk quantification: each type of sensitive data found is given a monetary risk value in real time, following the FAIR (Factor Analysis of Information Risk) model, so you can see where your exposure is concentrated.
- Monitoring: the agent tracks files as they are created, downloaded, copied, modified and shared, inside and outside the organisation, without integrating with each application, and raises alerts on unusual activity.
- Encryption: sensitive files are encrypted automatically according to policy. They open as normal in approved applications on devices running the agent with your organisation's key, and are unreadable anywhere else.

The two options are separate subscriptions on the same agent and console. Assessment and Monitoring is the lighter option for understanding exposure; Managed Encryption is for organisations ready to protect the files themselves. Both are billed monthly on your Forever Systems invoice and sized to the devices, servers and cloud repositories you want covered, subject to Actifile's minimum monthly commitment. Pricing depends on the option and the number of devices, so ask us for a quote.
Encryption without the friction
Traditional data loss prevention tries to block every way a file could leave the business, which means complex rules, frequent false alarms and frustrated staff. Actifile takes the opposite approach: protect the file itself, so it does not matter how it leaves.
The Encryption Wizard works from the risk view. Choose a type of sensitive data, and it shows how many files, file types and locations will be encrypted, how much of the measured risk that removes and which applications will be allowed to open them. Defaults are provided for common formats such as Office documents and PDFs, and can be extended. Encryption uses the operating system's AES-256 libraries, Actifile describes it as FIPS-validated, and decryption happens transparently for authorised users, with no extra passwords.
Because new files are tagged as they are created or copied, future files containing that data are encrypted too.

The agent installs remotely, on premises or in the cloud, and can be pushed with remote monitoring and management tools; N-able lists an Actifile integration for N-central and N-sight that validates the installation key and runs the latest installer. Because scanning begins straight after installation, the first view of your data risk does not wait for a long project. We check application compatibility and test encryption on a pilot group before rolling it out.

What operating systems does Actifile support?
Actifile provides agents for Windows, macOS and Linux virtual machine workstations, and for Windows and Linux servers. Microsoft 365 is covered through API connectors.
Can people outside my organisation open Actifile-encrypted files?
No. Encrypted files only open on devices running the Actifile agent with your organisation's key, which is what makes stolen or leaked copies useless.
Can I start with an assessment only?
Yes. Assessment and Monitoring discovers and scores your sensitive data without encrypting anything. You can switch on Managed Encryption later using the same agents.
Does Actifile stop ransomware?
It does not stop ransomware running; that is the job of endpoint protection. It reduces the damage from data theft, because files the attackers take are encrypted and cannot be read or published.
