In short: NinjaOne SaaS Backup Standard, powered by Dropsuite, is cloud-to-cloud backup for Microsoft 365 and Google Workspace. It runs automatic incremental backups several times a day, keeps data for as long as your retention policy says, and restores single items or whole mailboxes to a point in time. It is licensed per user, monthly or annually.

What NinjaOne SaaS Backup Standard is

Standard is the core Dropsuite backup service, now sold under the NinjaOne name. It keeps an independent copy of your Microsoft 365 or Google Workspace data, so you can recover from accidental deletion, a bad sync, a malicious insider or ransomware that has encrypted files in OneDrive or Google Drive.

Backups run automatically several times a day, and you can change the schedule. They are incremental: after the first full copy, only new and changed items are sent. You can also start a backup on demand before a risky change such as a migration or a mass permission update. Auto-discovery and backup coverage reports help you spot new users, sites or drives that are not yet protected.

What it protects

PlatformWorkloads backed up
Microsoft 365Exchange Online mailboxes (inbox, sent items, folders, attachments, calendar and contacts), OneDrive files and folders, SharePoint site collections, document libraries and lists, and Teams structure, channel messages and associated files
Google WorkspaceGmail (inbox, sent items, archived mail and attachments), Drive files and folders including shared drives, Calendar events and Contacts

Retention is set by policy, up to unlimited, with control over how many versions to keep and whether to keep deleted files. Microsoft 365 and Google Workspace only hold deleted items for a limited period, so this is the main gap the product closes. NinjaOne does not cap storage per organisation; its fair use policy sets a storage allowance for each paid seat, pooled across the organisation.

Restoring data

Restores work at whatever level you need. You can restore a single email, a folder, a whole mailbox, a OneDrive folder, a SharePoint library or Teams files, from any point in the backup timeline. Restores can avoid overwriting content that is still intact, and you can search across backups by several criteria at once, including inside attachments. Backup and restore activity is recorded in an audit trail, so you can see who restored what and when.

If you need to rebuild your Microsoft Entra ID directory as well as your data, see Entra ID backup. For compliance archiving and legal hold, see email archiving.

How Standard is licensed

OptionUnitTerm
NinjaOne SaaS Backup StandardPer userMonthly or annual
NinjaOne SaaS Backup Standard (Nonprofit Pricing)Per userMonthly

You license each user whose data you want to protect. Nonprofit pricing is for eligible charities and non-profit organisations, and we check eligibility before we order. When someone leaves, NinjaOne says their backups are preserved through offboarding; we agree with you how long a leaver's data should be kept before you reduce your licence count. Ask us for a quote for your user count and term.

Set-up, and who it suits

Set-up is done in the browser. An administrator authorises the service to read your Microsoft 365 or Google Workspace tenant, you choose which users, sites and drives to include, and the first backup starts. NinjaOne says you can start backing up within minutes. Nothing is installed on users' devices. Existing Dropsuite customers can keep their current set-up, and can optionally view and manage it from the NinjaOne console.

Standard suits most small and mid-sized organisations that want simple, per-user Microsoft 365 or Google Workspace backup without managing storage themselves. We set up the tenant connection and retention policies, check that the first backups complete, and handle user changes and renewals afterwards.

Frequently asked questions

How often does Dropsuite back up Microsoft 365?

Automatically, several times a day, using incremental backups. You can adjust the schedule and run extra backups on demand.

Is Dropsuite storage unlimited?

There is no storage cap per organisation. NinjaOne's fair use policy sets a storage allowance for each paid seat, pooled across your whole organisation, and retention is set by policy, up to unlimited.

Does it back up Microsoft Teams and shared drives?

Yes. It covers Teams structure, channel messages and associated files in Microsoft 365, and both personal Drive files and shared drives in Google Workspace.

Can I restore without overwriting current data?

Yes. NinjaOne says restores can avoid overwriting data that is still intact, so you can put back a lost file or email without disturbing the current version.
